High Five Software is appropriate for most businesses that create proposals, purchase orders and invoices and that use QuickBooks. It offers even more value for firms that carry inventory.

While High Five Software has a basic “point-of-sale” module, it is not well-suited for firms that need a complex point-of-sale system.

Because HFS is a commercial-grade business management platform, we need to have an onboarding call with new clients to understand their workflows so we can configure HFS accordingly. 

Step 1. Let’s talk so you can tell us about your business and we can determine if HFS might be a good fit for your firm. We call this a “discovery call” and at the end of the call we’ll be frank with you as to whether HFS would be a good fit or not. You can schedule that call simply by clicking here.

Step 2. In a second call we will demo the system to you and your team so you can start to understand how it would benefit your firm and so you can point out any software tweaks that would be required. At the end of the demo we can provide ballpark pricing.

Step 3. Your firm can start with the Starter Pack for free for one month, and only pay for Onboarding and Training. This will provide for unlimited free training for 30 days.

Step 4. Your firm will learn the system well enough to identify the exact customizations, if any, that will be required. We will provide more accurate pricing so your firm can make a final decision.

Yes and no. The Starter Pack is free for the first month, but new clients are required to pay the Onboarding fee.

Both email and phone support are included in the price of the HFS license.

Yes. The Starter Pack is free for the first month, but there is a fee for Onboarding. This will allow your firm to learn the system, decide if it is a good fit, and determine what customizations would be required. All of this can be completed in a month.

If a firm doesn’t require any modifications to HFS, then they can be live within one week. For firms that do require customizations, we will provide a realistic estimate after the demo.

  1.  Once your firm purchases the High Five Software Onboarding and Training, we will schedule the Onboarding call.
  2. During the Onboarding call, we will cover the different training sessions and who needs to attend each session.
  3. We will also explain that your firm will need to designate one or more persons to be the “HFS System Administrators”.
  4. We will explain the materials that your firm will need to provide to us.

This fee covers the time we spend with your staff in order to get the HFS system online. It starts with the onboarding call where we explain the onboarding and training process. Then it covers the 10 – 15 hours we spend providing live training, importing contacts, manipulating your logo to work with HFS, and various other tasks that come up during the onboarding process.

Staff will be asked to watch training videos before each live training session. The goal is for the live training sessions to reinforce what they have already learned. 

We will provide live training for 30 days from the first training date to ensure the onboarding process is as smooth and efficient as possible.

Your firm will need to designate one or more individuals as the System Administrators. These people will require about 8 hours of training.

Normally, the person who manages QuickBooks will need 2 – 3 hours to configure and test the HFS and QuickBooks syncing.

All other staff will need approximately 4 – 6 hours of training.

Most HFS clients will train new staff themselves, but we can provide this service at a discounted hourly rate.

Once your firm has learned HFS and understands the modifications that will be required in order for it to work for your firm, then you will meet with a programmer to discuss those modifications. Calls with the programmer are billable and are not covered in the Onboarding fee.

No. HFS has a bidirectional communication link, so it not only pushes transactions to QuickBooks but also pulls data from it. This means, for example, that HFS users can see if vendor bills have been paid or if clients have paid their invoices.

It would be difficult to answer this in writing, but it is fairly simple to show you during a call. If you’d like to learn the nuts and bolts of this part of the system, then please call us so we can schedule a time to show it to you.

Purchase orders are created in HFS and then sent to QuickBooks. Invoices work the same way.

The reason is so that your firm has total control over how these documents look and what information they contain. The POs HFS generates can include images and PDFs, such as vendor quotes, technical drawings, receipts, and more.

The data from these transactions is electronically transferred to QuickBooks. If the vendor on the PO is not already in QuickBooks, HFS will add the vendor to QuickBooks automatically.

The Executive Dashboard pulls down key information from both QuickBooks and HFS and displays it on a tablet or a desktop computer to make it easy for key decision makers to have access to this information. This dashboard is included with the Starter Pack

HFS can be customized to work with any accounting system whose API provides the functionality required.

You will meet with a programmer to discuss your required customizations. We will then send you a detailed proposal outlining the estimated hours and completion date. You will need to reply to confirm your approval. 

Once we have met with you to determine the specific details of the customization you are requesting, we will submit a proposal with an estimated hour range. Our standard hourly rate is $150, but most clients purchase a block of discounted prepaid hours to cover customizations. The more hours purchased, the greater the discount. We cover these rates during the demo.

There are two points worth mentioning.

First, while we will test the customizations before releasing them to you, your firm will be responsible for ensuring they work as expected.

Second, we charge a nominal support fee based on the number of hours of customization. This fee is charged annually one year after the customization is completed. The fee covers the additional costs of supporting these customizations and ensuring they remain compatible with future system enhancements.

You can request that the value of the unused hours be applied to your next monthly invoice.

HFS includes three AI tools. 

  • An AI tool that extracts data from the vendor’s data sheets and adds that data to the Product Library. 
  • An AI tool that automates the process of reconciling a vendor’s acknowledgment to your firm’s PO.
  • An AI tool that extracts data from a vendor’s website and updates HFS with this information.

Yes, every movement is recorded.

These packages include both training and support to get your firm online with the inventory module. This typically includes tasks such as developing barcode label formats, importing your current inventory data, and making any required modifications to ensure the HFS inventory module is compatible with your inventory tracking method.

Yes, it can work with both the QBO and the Enterprise inventory modules.

The default HFS mobile app allows your employees to:

  • View project data
  • Add timesheets
  • Add tasks
  • Add contacts

Yes, and developing a custom app is surprisingly fast and affordable. The key is ensuring that every detail is thought through so we get it right the first time!
